Complete guide: migrating to Microsoft 365 without downtime
Migrating to Microsoft 365 is one of the most frequent requests we get from companies. The reasons are clear: predictable costs, professional email, Teams collaboration and access from anywhere. But a poorly planned migration can mean lost emails, hours of downtime and frustrated users. Here's how we do a migration the right way.
1. Auditing the starting point
Before anything, we assess exactly what you have. How many mailboxes, how much data, what email server you use now (on-premise Exchange, cPanel hosting, Google Workspace) and which applications depend on email. This audit removes surprises during the migration.
- Mailbox inventory and total data volume
- Applications that send email (ERP, invoicing, scanners)
- Existing DNS records (MX, SPF, DKIM, DMARC)
- The right Microsoft 365 licences for each role
2. Planning and preparing the tenant
We configure the Microsoft 365 tenant, verify the domain and prepare user accounts before moving a single byte of data. We also set up security policies: multi-factor authentication (MFA), conditional access rules and anti-phishing protection. Security isn't an optional final step — it's part of the migration.
3. The actual data migration
We migrate data in parallel with the company's normal operation. Emails, calendars and contacts are copied in the background while users keep working on the old system. Only when everything is synced do we switch the MX record to Microsoft 365 — the moment new email starts flowing into Office 365.
4. Cutover and post-migration support
We usually schedule the final cutover for Friday evening or the weekend so the impact is zero. Monday morning, your team opens Outlook and everything is there. We stay available in the first days for phone setup, signatures and any user questions.
